ePrescription, eRefferal, Medical Event

ProDentis is one of the first dental programs on the Polish market to enable support of e-Prescriptions, e-Referrals and reporting of Medical Events.

From the level of the program, you can issue ePrescriptions, eReferrals, and accept and process eReferrals issued by other doctors . Our customers can, starting in July 2021, report unhindered Medical Events.

Soon, the ProDentis program will also support the process of handling patient consents for medical services through the Patient Internet Account (IKP).

We started the process of implementing electronic prescriptions in the form of HL7 CDA documents already in 2017. Our company was among the seven companies qualified to participate in the "Projectathon" workshop organized by the Center e-Health (CEZ) and e-Prescription. On March 19, 2018 we took part in Projectathon and our ProDentis software equipped with the "ePrescriptions" module successfully passed all the tests prepared by CSIOZ.

The ProDentis program provides mechanisms for issuing e-Prescriptions from June 2019 and e-Referrals from December 2020. We constantly monitor changes introduced within the CSIOZ guidelines and we make changes to the software on an ongoing basis so as to ensure the continuity of work and the permanent possibility of issuing eRecept and eRefers.

ProDentis is also equipped with the eRecept Pro Auctore and ProFamiliae display mechanisms.

Successful preparation of eRecept and eReference mechanisms confirms our knowledge and professional preparation for the introduction of electronic documentation in the HL7 CDA and FHIR format.

e-Sick leaves

As announced, we provide the possibility of issuing polish eZLA sick leave directly from the ProDentis program. You can use an interface similar in appearance and functions to the interface of the web application provided by ZUS. Thanks to this, the use of the interface will be easier and immediately understandable for you.

VOIP telephony support

VOIP module — IP telephony support


The VOIP module is a perfect, innovative solution that allows you to automatically make scheduled calls to the facility based on a telephone conversation with the incoming person. The module also allows to make phone calls directly from. The availability of IP telephony directly in the ProDentis program and the VOIP module service with any central telephone network or virtual system of quick access to the VOIP network is the advantage of this solution.

Below is an overview of the VOIP module

  • find the current data status based on the caller's number,
  • building history of phone calls received / missed / made in-game patient cards,
  • building reference history phone calls received / missed / made in the form of statistics,
  • function making phone calls from the program (must be set up / microphone). number in an existing active program,
  • Every order made from a VOIP module is automatically recorded in history,
  • VOIP offers statistics in graphical graphics that are spot on in the traffic diagram for employee days with a breakdown. The diagrams also allow prices for comparisons in the amount of received / received / made per hour per day of the week with a division.

Agenda

Agenda — calendar of events

Agenda is an internal schedule that allows you to save events or tasks related to a specific date and time. Tasks / events can be one-time or repeated cyclically every specified number of days. They can also be assigned for execution to multiple recipients, while the administrator (person assigning tasks / events) can track their reading and execution.

Easy operation, entering tasks by dragging from event templates onto the calendar grid make tasks or events easy to set while working with the program.


Listing scheduled tasks to be performed in the near future is quick and easy to read.

Doctor's mobile application

The ProDentis Doctor application is a separate application that works with the ProDentis program. The basis for its use from the clinic's side is an active subscription to the update and technical support of ProDentis software. In return, the clinic receives an application that is free of charge and can be used by all clinic employees without restrictions. Launching requires only accepting the license conditions. The application can support one or more clinics. The possibilities of the mobile application for doctors:

  1. There are 3 options on the main page (Visits / Administration / Office)
  2. Availability of the function of modifying / removing terms regulated on individual rights for each user separately.
  3. You can register up to several mobile devices per employee (e.g. phone and tablet).
  4. "Call / text the patient" option available.
  5. PDF document signing available.
  6. Smart photo viewer.

The easy use of the mobile application means that the admission dates can be quickly checked from anywhere in the world.

ProDentis Patient application is a separate application that works with the ProDentis program. The basis for its use from the clinic's side is an active subscription to Grafik Online services. The application is free for patients and only requires the acceptance of the license conditions. Features of the mobile application for patients:

  1. Easy launch of the application by scanning the QR code.
  2. Attractive layout.
  3. Booking of appointments with the possibility of easy contact with the clinic (option "Call" or "Launch the clinic's website".
  4. Easy launch of a trusted patient's account - the benefit of automatic association of the patient with the card in the clinic.
  5. For the trusted patient, the function of viewing own appointments.
  6. For a trusted patient, the option (set to patient) of direct booking in the scheduler.
  7. For a trusted patient, the ability to make advance payments for visits through PAYU.

The patient's mobile application has been equipped with large and clear buttons. The patient can easily make an appointment or check when he is to appear at the clinic

New dental chart

New Tooth Chart

The new dental chart has been rebuilt from scratch - it's new nice and readable vector graphics and new important functions. When creating a new dental chart, we were guided by the need to maintain the current appearance with the functions of switching from the schematic chart to the natural one. Important features of the new chart:

  • vector graphics (better graphics quality)
  • transfer of selected treatments between teeth and surfaces: - if it is necessary to correct an incorrect entry - when using a treatment plan template or stage to correct the position of the procedure in the chart
  • hide or show hidden treatments
  • possibility of adding non-erupted teeth
  • possibility to set a milk tooth and an additional non-erupted tooth on the chart
  • insertion of supernumerary teeth after / before (up to 3 pcs.)
  • tooth type change: - medial incisor - side chopper -canine -premolar first - second premolar superior molar
  • zoom in or out of the displayed dental chart (scaling)
  • possibility to apply animated (moving) graphic icons (GIF icons) to emphasize the importance of markings.

Queue System

The queue system is an innovative system for summoning patients using visual information and speech synthesis

- In the age of the GDPR, it is important to limit the risk of misuse of personal data. The queue system is a unique system for calling a patient using numbered tickets associated with on-screen and voice announcements.

The patient service process begins at the reception where tickets with a patient number are printed.In waiting room patient In the waiting room, the patient watches the screen (usually a TV set), on which subsequent calls from doctors appear. A subtle gong signal combined with a voice announcement attracts the attention of patients. Patients must not miss such a call! The doctor may repeat the call if the patient does not appear in the office after the first attempt. Calls can be interspersed with ad shows.


Advertising module

The Queue System has been equipped with an innovative advertising module. The system supports various forms of advertising: movies, slide presentations and individual presentation shows.

The system smoothly and aesthetically switches to advertising mode after a certain time has elapsed since the last recall. Programmed advertisements are presented on the main part of the screen and an information bar with recently recalled tickets appears at the bottom of the screen.

It is possible to operate many different screens, e.g. in the main waiting room and in the children's room, which in connection with the possibility of diversifying the content of advertisements (for adults in the main waiting room, for children in the playroom) can translate into greater interest of patients in the advertised products.


Queuing System Configuration

The Queue System has been constructed to ensure that implementation costs are minimized. The system is based on an independent device supplied by us at the time of purchasing the system. The system works based on a cable or WIFI LAN. You can use a monitor or TV (Full HD) to visualize the calls. It is possible to connect multiple screens to recall patients from different groups of offices (e.g. from different floors of the clinic)

HELPDESK

HELPDESK

A new feature is the HELPDESK module, i.e. a panel accessible from the program level that allows you to add requests that go to the technical department of Infotel Software Sp. z o.o. It is active immediately after starting the program. From the Helpdesk position, it is possible to create service requests and view the status of earlier requests and responses from the technical department. It is a quick way to submit inquiries about program operation and service problems. HELPDESK functionality is available 24 hours a day, 7 days a week. We respond to inquiries within a few minutes from 8.00-16.00 on business days.

Personal Data - Protection

ProDentis systemically supports the protection of personal data

ProDentis optionally allows encrypting the contents of the database in which the entered data is stored. Database security through encryption is the user's choice and is carried out in accordance with the guidelines of the GDPR includes the implementation of encryption and pseudonymization mechanisms. Database encryption also includes backups that will be created from the encrypted database. ProDentis does not encrypt the database by default.

ProDentis software secures communication between the client interface and SQL data server by using encrypted connections.

The storage of photo or scanned files can be protected by a specially prepared file server program (option to be installed free of charge in the ProDentis package), which communicates with the client interface via an encrypted link.

Restriction of access to personal data in the schedule

One of the important new functions whose introduction was postulated in connection with the protection of personal data is the easily available scheduler option disabling the display of full data to the patient and enabling displaying only patient initials.

Online booking schedule - narrowing personal data to a minimum

The ProDentis program has the option of booking dates via the Internet. Following the guidelines of the GDPR, the amount of personal data collected from patients when they make online reservations will be limited to the strict minimum necessary, i.e. the following data: name, first name, telephone number and email address. An email address is needed to perform automatic booking confirmation.

GOOGLE calendar - narrowing the data transferred to initials

From the beginning of 2017, all deadlines transferred to the employee's Google calendar by default only bear the initials.

Other functions within the schedule are primarily automatic marking of appointments that the patient has not come to.

If the visit has not taken place, a cross symbol will be automatically displayed on the given date.

Staff Commision Profiles

ProDentis allows you to diversify the amount of staff commission depending on the days of the week, period and time of the day

Commission Profiles are an important change that makes it easier to create staff commission billing schedules in clinics. The previous solution allowed for the definition of one commission list per employee - this definition remains in the program and is now called the default profile. The default profile is active whenever there are no other active commission profiles (including when the Commission Profiles option is not enabled).

 

Commission profiles always have priority over the default profile and can be defined for selected periods, times of day, and all or selected days of the week. You can define a weekend profile (only for Saturday and Sunday), a holiday profile (specifying a holiday period) or a morning and afternoon profile, different for the days of the week and another for the weekend.

Profiled Price List For Branches

ProDentis allows you to set up separate price lists for branches

The profiled price list for branches allows you to define different prices for the same price list items for different branches. When a profiled price list is enabled, in the procedure price list, after selecting a branch from the list of branches, a column with prices of a given branch appears next to the column with prices of the central facility. This gives the possibility of easy modification of branch prices while maintaining quick insight into the basic prices of the central branch.

To enable edition of prices of a given branch, select the "Price swap" option, then select the branch. Next to the "Unit Price" column, the "Profile Price" column for the selected branch will appear. Green highlighted boxes mean prices in the branch office are different from the prices of the basic branch already entered in the database. Orange highlighted grids mean modified values, different from the basic price list and not yet saved.
